About PayPal statements
PayPal is an online payments company headquartered in San Jose, California, used to send and receive money and to pay merchants online.
PayPal monthly and custom statements start with a Balance Summary for each currency, showing available and withheld amounts at the beginning and end. An Activity Summary then groups payments received, payments sent, fees, transfers and similar categories. The Transaction History lists Date, Description, Name / Email, Gross, Fee and Net per currency. Only items that change your balance appear, so pending authorisations are left out.

How to download your PayPal statement as a PDF
- On the web, go to paypal.com/reports/accountStatements.
- Click 'Request' next to the month you need.
- When it is ready, click 'Download' to save the statement.
- For activity reports, open History, click the Download icon, then 'Custom'.
Activity reports reach back up to seven years. The statements portal keeps up to two years of monthly statements, and custom statements can cover any period within the last three years.

PayPal CSV and Excel downloads vs converting the PDF
PayPal's activity download offers CSV, TAB, PDF, Quicken and QuickBooks formats, up to 12 months per request. Monthly statements come as PDF or CSV. Converting helps when a PDF statement is the only copy you or your client kept.
Converting the PDF statement is useful when you need periods outside that window, an account that is closed, or the exact figures printed on the official statement, including the running balance for reconciliation.
Tips for converting PayPal statements
- PayPal's statement table has no running balance column, so the balance check has nothing to re-add; compare your totals with the Activity Summary instead.
- If your statement was produced for a US account and dates look like 03/14/2026, set 'Read dates as' to month-first before exporting.
- When you only have monthly PDFs, combine several in the converter to produce one CSV covering a full tax year.
